How to Order Custom Engraved Items

At Barrel & Grain Woodcraft, every engraved piece is made to order — no mass production, no shortcuts. Whether it’s a gift, a home bar upgrade, or something with personal meaning, we make the process simple and transparent.

Step 1: Choose Your Product

Start by selecting the product you’d like engraved — coasters, bottle openers, wine butlers or other custom wood pieces.

Each product page will show:

  • Timber options (where applicable)
  • Size and finish details
  • Engravable area
  • A selection of standard design options

Step 2: Add Engraving

Use the engraving switch on the product page to add engraving to your item.

Once engraving is switched on, you’ll be able to choose one of three engraving options.  (Some products may just display the 'text only' option, depending on the avaialble space for engraving.)

Step 3: Choose Your Engraving Type

After enabling engraving, select the option that suits your order:

Option 1: Text Only (+ $10)

Choose this option if you want a clean text engraving such as a name, date, short phrase, or coordinates.

You’ll be prompted to enter:

  • Your engraving text

  • Font selection 

Option 2: Standard Design (+ $15)

Choose from one of our Barrel & Grain standard designs, created to suit our products and timber styles.

Based on the design selected, you may be asked to enter:

  • Names, dates, or short text fields required for that design

  • Font selection (where applicable)

Option 3: Your Own Custom Design (+ $25)

Upload your own logo or artwork for engraving.

You’ll be prompted to:

  • Upload your design file

  • Enter any required text or notes

To get the best engraving result, please follow the guidelines below when uploading your own design.

Preferred file types (best results):

  • SVG

  • EPS

  • PDF (vector-based)

Accepted file types (may require adjustment):

  • PNG (high resolution, transparent background preferred)

  • JPG (high resolution, clear contrast)

  • AI

File requirements:

  • Black artwork on a transparent or white background works best

  • Simple, clean designs engrave better than highly detailed images

  • Avoid gradients, shadows, fine textures, or very thin lines

  • Text in logos should be clear and legible at engraving size

Please note:

  • Low-resolution, blurry, or screenshot images may not engrave well

  • We may contact you if a file is unsuitable or needs adjustment

  • By uploading a design, you confirm you have the right to use the artwork

Important:

  • All text is copied exactly as entered — including spelling, punctuation and capitalisation

  • Please double-check your details before adding to cart

  • For most standard text engravings, we engrave directly without a proof to keep turnaround times fast

  • For logos, complex layouts or custom orders we may send a digital proof for approval before engraving. Production will only begin once approved.

    Step 4: Production

    All engraved items are made by hand in our workshop.

    Typical production time:

    • 3–7 business days for standard engraved items

    • Longer during peak periods (Father’s Day, Christmas, sales events)

    You’ll receive tracking details once your order ships.

    Important Things to Know

    Natural Timber Variations

    Wood is a natural material. Grain, colour, and engraving depth will vary from piece to piece. This isn’t a flaw — it’s what makes each item one of a kind.

    Returns & Cancellations

    Because engraved items are personalised:

    • Returns are not accepted for change of mind

    • Orders cannot be cancelled once engraving has begun

    If there’s an issue caused by us, we’ll make it right.

    Logos & Custom Artwork

    If submitting a logo:

    • Vector files (SVG, AI, EPS) are preferred

    • High-resolution PNG files may be accepted

    • You confirm you have the right to use the artwork

    Frequently Asked Questions

    How long does engraving take?

    Custom engraved items require an additional 3-7 business days for production before shipping, this allows enough time for the product to be sealed and cured after engraving. During peak seasons (holidays, wedding season), please allow 5-10 business days. Rush service may be available for an additional fee—contact us to inquire.

    Can I see a preview before you engrave?

    We provide a digital proof for orders with complex designs or multiple lines of text. For standard text engraving, we engrave based on the details you provide at checkout. If you'd like a preview, please contact us immediately after placing your order.

    What if I make a mistake in my engraving text?

    Please review your text carefully before completing your order. We engrave exactly as specified. If you notice an error after ordering, contact us immediately—if we haven't started production, we can update your details. Once engraving is complete, we cannot modify the piece.

    Can engraved items be returned or exchanged?

    Due to the personalised nature of engraved items, they are not eligible for return or exchange unless there is a production error on our part. We will gladly replace any item with an engraving error caused by us at no charge.

    Is there a limit to how much text I can add?

    Yes, character limits vary by product and engraving area. Limits are displayed on each product page. Generally, we recommend keeping text concise for the best visual impact and readability.

    What fonts are available?

    We offer several carefully selected fonts that complement our wooden pieces, including classic, modern, script, and rustic styles. Available fonts are shown in the engraving options on each product page.  If you would like a specific font please contact us and we will determine whether it can be engraved on the selected product.

    Can you engrave photos?

    We can engrave simple photos and more intricate designs for an additional fee. Please contact us with your photo or artwork for a quote. Complex designs may require additional production time.

    Will the engraving fade over time?

    No. Laser engraving permanently marks the piece by burning into the surface. Your engraving will last as long as the piece itself. With proper care, your personalised item will remain beautiful for generations.

    Can I engrave an item I already own?

    Currently, we only offer engraving on new purchases from our store. We do not provide engraving services for items not purchased from Barrel & Grain Woodcraft.

    Can I order multiple items with different engravings?

    Yes! Add each item to your cart separately and specify the unique engraving details for each piece. If you're ordering multiple items for a wedding party or corporate event, contact us for volume pricing.
